ADMINISTRATIVE COORDINATOR
Brandon, Manitoba
Key Responsibilities:
æ List Management: Maintain and update databases, mailing lists, and contact information and data cleansing.
æ Getting to Know You Survey: Assist in the implementation and analysis of surveys to gather information from stakeholders.
æ Webinar Logistics: Coordinate logistics for webinars, including scheduling, registration, and technical support.
æ Event Logistics: Support event planning and execution, including hotel bookings and coordination.
æ Procurement: Preparation of RFPs, RFQs and agreements.
æ Research – Media Scan: Conduct media scans and research on relevant topics as assigned.
æ Promo Item Inventory: Manage inventory of promotional items and coordinate distribution as needed.
æ Calendar Management: Maintain calendars, schedule meetings, and coordinate appointments.
æ Aggregator: Compile and organize information from various sources for analysis and reporting.
æ Expert in Microsoft Forms: Develop and manage surveys and other forms as required.
æ Resource Library: Organize and maintain a resource library of documents, templates, and reference materials.
æ Basic Financial Processes: Assist in basic financial tasks such as budget tracking and expense reporting.
Requirements:
æ Business Program: Completion of a relevant business program, creative communications or equivalent experience.
æ Organizational Skills: Ability to prioritize tasks and manage multiple projects simultaneously.
æ Strong Office 365 Skills: Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook and Sharepoint.
æ Adobe Pro: Experience with Adobe Acrobat Pro for document management and editing preferred.
æ Desktop Publishing: Familiarity with desktop publishing software is an asset.
æ Attention to Detail: High level of accuracy and attention to detail in all tasks.
æ Keyboarding: Proficient in data entry and typing with a focus on accuracy and efficiency.
æ Written Communication: Excellent written communication skills with the ability to draft clear and concise documents.
æ Verbal Communication: Communicate effectively with internal and external stakeholders.
æ Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
æ Basic Business & Economic Development Comprehension: Understand basic concepts related to business and economic development.
æ Ability to Travel: Availability to travel occasionally for meetings or events.
æ Access to Vehicle: Must have access to a vehicle for transportation as required, valid class 5 driver's license.
æ Position is on site in Brandon, Manitoba.
