- Performs telephone and reception duties, including receiving, screening and directing phone calls, answering inquiries. - Monitors and manages the NCTR general inquiries email from the website and redirects inquiries to the responsible department. - Receives, records and distributes incoming shipments. - Arranges for couriers and gathers and sorts mail. - Assists with large volume mail-outs. - Schedules use of the office/board room/multipurpose room. - Collects staff timesheets for payroll. - Review telephone and cell phone bills and saves to the MOR folder. - Maintains files in reception area. - Type correspondence, memos, letters, responds to e-mails as requested by Office Coordinator. - Photocopies, ensures copier is stocked with paper and toner, makes on campus deliveries as necessary. - Schedules IT maintenance for computer lab as necessary. - Act as back-up to the general secretary and provides assistance to other staff with special projects and events. - Perform other related duties as assigned.
EXPERIENCE: - Three years of directly related experience is required. - Experience working with Indigenous organizations, peoples, elders and communities is required. - Experience working with residential school survivors essential. - Experience with University financial systems such as Aurora Finance, VIP, Epic and Concur is preferred. - Experience sharing information on the residential school system and legacy required. - An acceptable equivalent combination of education and experience may be considered. SKILLS AND ABILITIES: - Working knowledge of Microsoft Office (Word, Excel, PowerPoint) required. - Good verbal and written communication and interpersonal skills required. - Ability to work tactfully and diplomatically required. - Ability to work both independently and as a member of a team required. - Knowledge and sensitivity to Indigenous cultures is required. - Knowledge of the history of the residential school system and the mandate of the Truth and Reconciliation Commission in Canada is essential. - Basic knowledge of general office practices with the ability to organize and prioritize standard secretarial and reception functions. - Cultural sensitivity; open-mindedness and flexibility is required. - The ability to work with many types of individuals in a sensitive environment. - Proficiency in multi-tasking in order to meet competing deadlines required. - Ability to learn in-house University software systems (Aurora Finance, VIP, Epic and Concur) required. - Ability to adapt to changing environments and circumstances required. - Good organizational and time management skills required. - Ability to speak French and/or an Indigenous language would be an asset. - Strong relationship with Indigenous communities required. - Knowledge of University financial systems such as EPIC and Concur an asset. - Indigenous candidates/persons of aboriginal descent are encouraged to apply. - Satisfactory work record, including satisfactory attendance and punctuality, is required.
